The University Secretary holds a senior position of trust and responsibility, and is responsible for promoting good governance of the University, working closely with the Chancellor and Vice-Chancellor. As head of the secretarial function, the University Secretary is responsible for the effective and efficient conduct of the affairs of the University by the Council, its committees and councils; the Senate and its subcommittees; and the senior management team and its committees.

Main responsibilities:

Promote good governance

  • Works with the Chancellor, Council (and its Committees/Councils) and Vice-Chancellor to establish and implement good governance practices, including assessment surveys; governance audits; performance reviews; and internal and/or external reviews of governance processes.
  • Provides advice to the Council, senior management team and other decision-making bodies on good governance of the University

Board Secretary

  • Provides secretarial support to Council and its Council Committees/Councils.
  • Ensures the proper functioning of Board committees/councils.
  • Leads the election and appointment processes of elected members of the Board and its committees/councils, as prescribed.
  • Presents budget proposals to the Vice-Chancellor in order to obtain adequate resources for the execution of the responsibilities of the Board (and its committees/councils) and the Secretariat.

Head of secretariat

  • Provides effective, efficient and timely secretarial support to the Senate (and its sub-committees) and the senior management team (and its committees).
  • Ensures timely distribution of notices and agendas of Senate (and its sub-committees) and Senior Management Team (and its committees) meetings.
  • Ensures the timely preparation, confirmation, distribution to members and tabling of minutes of meetings of the Senate (and its sub-committees) and the Senior Management Team (and its committees).

Person specification:


  • Master’s degree in governance, law, administration or other related field from a recognized university
  • Significant experience working with large councils and/or university boards
  • Demonstrable experience of international best practices in good corporate governance
  • Demonstrable knowledge and experience in the following areas:
    • Compliance and risk management
    • Archive management, data protection and legal issues

  • Exemplary fluency in English with excellent interpersonal and communication skills (written and oral)
  • Excellent organizational and time management skills, with a proven ability to multi-task
  • Excellent analytical and problem solving skills
  • Proven ability to lead and motivate people, and build and nurture high performing teams
  • Demonstrated commitment to the principles of public life: altruism, integrity, objectivity, responsibility, openness, honesty, leadership
  • Commitment to the values, vision and mission of FNU
  • High levels of tact, diplomacy, determination and resilience
  • Proven ability to negotiate, persuade and influence at individual and institutional levels

  • At least 10 years of experience in a management position in a university or a multinational company, or management experience in a relevant institution, dealing with confidential governance matters, including the effective management of committees, boards and other groups.
  • Work experience in a dynamic and changing work environment
  • Demonstrable knowledge of the higher education sector would be a distinct advantage

To note:

The University will take into account the minimum qualification requirements (MQR) for the position as well as relevant experience and technical expertise during the recruitment and selection process. All three factors will be considered during the selection process when making the decision.

Salary: FJ$72,030.00 plus 6% superannuation
